Conditions of renting the land at The Greens at Waldringfiel

A booking deposit of 50% is required to secure your date. This deposit is non-refundable (unless at the discretion of the owners).

The remaining hire balance is due 30 days before the event, as confirmed in your booking agreement.

A separate fully refundable security deposit of up to £1,000 is required to cover potential cleaning or damage costs. The exact amount will be confirmed at the time of booking based on the type and scale of your event. The security deposit will be returned in full after the event once the site has been inspected and any necessary cleaning or repairs have been completed.

 Cancellation by the client more than 60 days before the event: booking deposit retained, balance not yet due.

• Cancellation between 30 and 60 days before the event: 50% of the total hire fee payable. 
• Cancellation less than 30 days before the event: full hire fee payable.
• Security deposit will be fully returned if no damage or additional cleaning is required.

•  Standard hire periods are from 9am on the day of hire to 1pm on final day of hire unless otherwise agreed.
• Any extension to these times must be agreed in writing and may incur additional charges.

•  The Greens is provided as an outdoor event space only. Organisers may bring in their own suppliers for catering, marquees, tipis, furniture or equipment. 
• To protect the venue and ensure safety, fires, motorcross, or any activities that could cause damage are not permitted. 
• The site must be left in the condition it was hired. Any damage, extra cleaning, or repairs will be deducted from the security deposit. 
• Noise must be managed in accordance with local regulations. Music is not permitted beyond 11pm. Organisers are responsible for obtaining any necessary permissions or licences for amplified music or public events. 
• Organisers are responsible for the behaviour of all guests, suppliers, and contractors on site.

 The organiser is responsible for ensuring the safety of all guests, staff, and contractors during the event. 

• All electrical equipment, temporary structures and installations must meet legal safety standards. 
• Fire safety regulations must be followed at all times.

• Parking is available on site for up to 100 vehicles. 
• On-site toilets are provided. Additional facilities may be arranged at the organiser’s expense.
• Access to the event space for set up and set down is available via vehicle access.

•  The organiser must hold suitable public liability insurance covering the event, with a minimum of £5 million cover. Proof of insurance may be requested before the event.  
• The Greens at Waldringfield accepts no liability for personal injury, loss, or damage to property except where caused by the venue’s negligence. 
• The organiser is responsible for the behaviour of all guests, contractors and suppliers on site.

•  The venue is not liable for events outside its control, including extreme weather, flooding, or other natural or governmental restrictions. Alternative dates may be offered where possible. 

 By paying the booking deposit and signing the booking form, the organiser agrees to these terms and conditions. Any breach of these conditions may result in termination of the booking and forfeiture of deposits.
